At VAB Informatics Private Limited ("VAB," "we," "us," or "our"), we strive to ensure complete customer satisfaction. This Refund Policy outlines the terms and conditions for refunds and cancellations of our services and products.

Our Commitment: We believe in fair business practices. If you're not satisfied with our services, we're committed to working with you to find a resolution.

1. Refund Eligibility by Service Type

2. Training, Workshops & Webinars

2.1 Free Webinars

Registration for free webinars does not require payment. You may cancel your registration at any time without any charges.

2.2 Paid Training Programs

For paid workshops, courses, and training programs:

Full Refund (100%): Cancellation request received 7 or more days before the scheduled start date.

Partial Refund (50%): Cancellation request received 3-6 days before the scheduled start date.

  • No Refund: Cancellation less than 3 days before the start date or failure to attend
  • Rescheduling: You may transfer your registration to a future session (subject to availability) up to 48 hours before the start date
  • Substitution: You may send a substitute participant at no additional cost with prior notice

2.3 Event Cancellation by VAB

If we cancel a training or event:

  • Full refund will be processed within 7-10 business days
  • Option to transfer to another scheduled session
  • We are not liable for travel or accommodation expenses

3. Software Development Projects

3.1 Project-Based Engagements

For custom software development projects:

  • Before Project Start: Full refund of any advance payment minus administrative fees (5%)
  • During Project: Refund calculated based on work not yet completed
  • Completed Milestones: No refund for approved and delivered milestones

3.2 Milestone-Based Payments

For projects with milestone-based billing:

  • Payment for completed and accepted milestones is non-refundable
  • Work in progress will be billed proportionally
  • Future milestones can be cancelled with full refund

3.3 Dissatisfaction with Deliverables

If you're not satisfied with delivered work:

  1. Notify us in writing within 7 days of delivery
  2. We will make reasonable revisions at no additional cost
  3. If issues persist after 2 revision cycles, partial refund may be considered

4. Staff Augmentation & Talent Services

4.1 Resource Placement

  • Recruitment/Placement Fees: Non-refundable once candidate starts
  • Replacement Guarantee: Free replacement within 30 days if resource doesn't meet requirements

4.2 Contract Staffing

  • Billing is for actual hours/days worked
  • Early termination subject to notice period (typically 15-30 days)
  • Unused pre-paid hours refundable within the contract period

5. SaaS Products & Subscriptions

5.1 Trial Period

  • 14-day money-back guarantee from the date of purchase
  • Full refund if cancelled within trial period
  • No questions asked

5.2 After Trial Period

  • Monthly subscriptions: No refund for current billing period
  • Annual subscriptions: Pro-rated refund for unused months (minus 20% early termination fee)
  • Subscription can be cancelled anytime; access continues until period end

5.3 Service Outages

If our SaaS products experience significant downtime (more than 24 consecutive hours), you may be eligible for service credits as per our SLA.

Approved refunds are processed within 7-10 business days

6.1 Required Information

Please include the following in your refund request:

  • Full name and contact information
  • Order number or invoice number
  • Date of purchase/payment
  • Service/product name
  • Reason for refund request
  • Preferred refund method

7. Refund Methods

Refunds will be processed using the original payment method:

  • Credit/Debit Card: Refund to original card (5-10 business days)
  • Bank Transfer: Refund to original bank account (3-5 business days)
  • UPI: Refund to original UPI ID (2-3 business days)
  • Cheque: Refund via NEFT/RTGS to your bank account

Note: Actual processing time may vary depending on your bank or payment provider.

8. Non-Refundable Items

The following are generally non-refundable:

  • Completed and accepted project deliverables
  • Services already rendered
  • Administrative and processing fees
  • Third-party costs already incurred on your behalf
  • Customized solutions built to your specifications
  • Domain registrations and SSL certificates
  • Third-party software licenses purchased on your behalf

9. Chargebacks and Disputes

If you have a concern about a charge:

  1. Contact us first: We encourage you to reach out to us before initiating a chargeback
  2. Resolution: We will work with you to resolve the issue
  3. Chargeback fees: If a chargeback is filed and later reversed, you may be responsible for associated fees

Important: Fraudulent chargebacks may result in account termination and collection action.

10. Exceptions

We may make exceptions to this policy at our discretion in cases of:

  • Documented technical failures on our part
  • Significant service delivery issues
  • Billing errors
  • Extenuating circumstances (evaluated case-by-case)

11. Policy Updates

We reserve the right to modify this Refund Policy at any time. Changes will be effective upon posting to our website. The refund terms applicable to your purchase are those in effect at the time of purchase.
